Corporate leaders' bet on AI tools began with a comforting promise: reducing weekly meeting hours and eliminating the buildup of unproductive gatherings. But the results of embedding these tools into individual workstreams produced a completely different reality. As an employee's ability to generate drafts and summarize data automatically accelerates, the need to convene the team to discuss those outputs, verify their accuracy, and make decisive decisions based on them increases. AI has not eliminated discussion tables, but stripped them of their traditional function and placed their usefulness under the microscope of accountability.

According to a recent survey by The Meetings Show, more than 60 % of business leaders found that AI actually increased the need for direct in-person alignment when analyzing results, making decisions, and executing. Brad Hentzey, executive vice president of global marketing at Crestron, a company specializing in workplace technologies, explains in an article published by Workplace Insight that automated generation tools may reduce meetings dedicated to status updates and routine information sharing, but in return they raised the value required of the remaining gatherings. The meetings that deserve to remain are those that rely on human judgment: testing assumptions, solving dilemmas, and agreeing on tasks that an individual cannot accomplish alone.

This shift reveals an organizational dilemma: a gap between individual performance and the meeting room. While employees integrate AI-enhanced tools at their desks to boost personal productivity, meeting rooms remain equipped with traditional technologies that hinder this acceleration. The gap widens in hybrid work environments; remote participants rely on algorithms to summarize and record discussion points, while those present in the room jot down their notes manually. This disparity creates technical friction that threatens the efficiency of discussion in the limited remaining collaborative hours.

What company leaders need, according to Hentzey, is to shift from obsessing over reducing the number of meetings to evaluating their qualitative return. This vision requires redesigning the meeting rooms themselves, equipping them with software solutions that enable seamless sharing of materials before the meeting and tracking its outcomes afterward, and putting remote participants on equal footing with those present in the room. The physical environment becomes a critical factor in enabling shared thinking that automated models cannot replicate.

For institutions operating in the Gulf, Egypt and the Levant,For institutions operating in the Gulf, Egypt and the Levant, this analysis carries a direct operational justification that goes beyond merely purchasing model licenses. In Riyadh and Dubai companies, departments have rushed to equip employees with individual generative tools, without developing the meeting room infrastructure to accommodate the resulting data flow. Moreover, the geographic distribution of teams, where Gulf headquarters manage technical and operational groups in Cairo or Amman, makes hybrid work interaction extremely costly. The practical decision for technology and HR managers here is to redirect spending toward upgrading collaborative workspaces and to impose a strict standard: cancel every meeting whose purpose is information exchange, and limit gatherings to decision making and collective accountability.

Treating meetings as a legacy office habit dissipates the actual benefit of task automation. The real value of artificial intelligence in your organization is not measured by an empty calendar of appointments, but by your ability to turn the remaining discussion hours into qualitative decisions supported by an environment that enhances human judgment.
